Managing Bookings & Notifications

Where to find your bookings

Every confirmed, rescheduled and cancelled meeting lives in Calendar → Bookings. You can filter by:

  • Upcoming — everything in the future.

  • Past — meetings that have already happened.

  • Cancelled — meetings that were cancelled by you or the visitor.

What you can see for each booking

  • Event type and duration.

  • Start time in your time zone (and the visitor’s time zone in brackets).

  • Visitor name, email and answers to your custom questions.

  • Location (video link, phone number or address).

  • Notes you add for yourself.

Reschedule or cancel

  1. Open the booking from the list.

  2. Click Reschedule to pick a new time — the visitor will get an email with the new details.

  3. Click Cancel to cancel — the visitor gets a cancellation email. You can add a short reason.

The visitor can also reschedule or cancel themselves from the link inside their confirmation email — no account needed.

Emails sent automatically

  • To the visitor, the moment they book: confirmation with date, time, location and an .ics calendar invite.

  • To you, the moment a booking is made: a notification with all the details.

  • To both, if a booking is rescheduled or cancelled.

The .ics calendar invite

The .ics file attached to confirmation emails imports cleanly into Apple Calendar, Google Calendar and Outlook. If you connected Google Calendar or Outlook (see the integration article), the event is also written directly into your calendar without you needing to import anything.

Tips

  • Add a short cancellation policy to the event description so visitors know how much notice you expect.

  • Use Notes on a booking to keep private reminders for yourself — the visitor never sees them.
